Coordination Manager
Paragon Home Healthcare are looking to recruit a dedicated and driven Coordination Manager to join our team.

Type: Full time, Monday to Friday (plus participation in on-call rota)
Reports To: Operations Manager
Direct Reports: Care Coordinators, Senior Coordinators
Salary Range: £33,000 - £35,000 per annum
As a Coordination Manager, you will play a central role in delivering a robust and complete service to our clients by ensuring that the coordination team functions smoothly and efficiently. You will manage a reduced coordination caseload, with a central focus of your role being the line management of the coordination team to ensure rota fulfilment with appropriate staff; swift and professional addressing of concerns regarding carers, staff and clients; and the overall smooth running of the coordination team.
This role combines coordination management and operational assistance to ensure that every client receives safe, effective, and person-centred support while empowering care teams to deliver their very best by effectively managing the coordination team who supports this endeavour.
Key Responsibilities
Coordination Management
- Maintain a reduced coordination caseload, focusing on rota management and liaising with the clinical and coordination teams to resolve issues and ensure quality of care.
- Provide direct line management, supervision and mentorship to coordination staff.
- Act as main point of contact to support the coordination team in resolving problems.
- In collaboration with the Clinical Manager, determine caseloads for each coordinator.
- Ensure coordinators maintain a 12-week forward rota.
- Ensure coordinators communicate 12-week recruitment needs with the recruitment team in a formal and structured manner.
- Ensure that coordinators follow all SOPs and processes for coordination and rota management, and provide guidance and training where needed.
- Maintain oversight of concerns and issues with each caseload, and that they are escalated to the Operations Manager or SMT in the instances of safeguarding or potential loss of income, reputational risk, etc.
- Lead on training of any new coordination staff and the ongoing training and development needs of current coordinators.
- Along with other coordinators, participate in new carer induction/training day(s) by helping to deliver coordination-related information and meeting with carers while on site in Richmond.
- Provide constructive feedback and supervision to the coordination team, addressing any concerns sensitively and constructively.
- Support coordination staff with incident investigations and disciplinary processes of care staff, also by participating in investigations and disciplinary meetings as necessary.
- Ensure coordination team is maintaining accurate records of events and incidents and responding to these in a timely manner and following company policies and procedures.
Operations Processes
- Manage first on-call and duty officer rotas.
- Direct the smooth running of weekly rundown meetings, including the arrangement of minute-taking at each meeting.
- Conduct regular audits against agreed targets as directed by the Operations Manager.
- Act as backup to the HR and Administrative Officer in times of absence, demonstrating excellent knowledge of company administrative and compliance processes.
- Highlight and suggest areas where SOPs or processes need creation or improvement and raise those with the Operations Manager. As directed by the Operations Manager, assist with reviewing current SOPs for accuracy.
- Collaborate with Recruitment Manager to highlight capacity risks to Operations Manager.
- Be aware of departmental key metrics and goals identified by the Operations Manager and how they relate to the daily management of the coordination team.
- Raise issues to Operations Manager concerning barriers within coordination which may impact carer or client retention.
Business Promotion

- Build strong partnerships with staff and colleagues, helping to form effective, high-performing teams.
Other Responsibilities
- Participate in the shared OOH on-call rota for nights and weekends.
